Excursion terms, conditions and refund policy.

1. Who these terms apply to

These terms apply to tickets sold by Federation University (the University) for the 'Ballarat Wildlife Park Excursion – Ballarat Students (Station or Mount Helen pickup)', 'Ballarat Wildlife Park Excursion – MCC Students', 'Maru Wildlife Park Excursion – Gippsland Students', 'Maru Wildlife Park Excursion – Berwick Students'. By buying a ticket, the student agrees to be legally bound by these terms.

2. Key terms
 
Ticket Price: the amount paid for the ticket, as advertised on the booking site.
 
Booking Cut off Date: the date/time described as such on the booking site. After this time, the University usually cannot cancel the bus/venue bookings without being charged.
 
Non recoverable costs (your place): the costs the University has to pay for your place on the Excursion and cannot get back from suppliers (for example, transport or venue charges). These costs are capped at the Ticket Price (the University will not keep more than you paid).
 
Legitimate excuse: a serious reason outside your control that stops you attending (for example, illness or injury, hospitalisation, bereavement).
 
3. Tickets are not transferable
 
Tickets are for the named student only. They cannot be transferred, gifted, or resold to another student.
 
4. If you cancel (change of mind) or do not attend

If you cancel on or before the Booking Cut off Date, you will receive a full refund.
 
If you cancel after the Booking Cut off Date, you may receive a partial refund, but only if the University can avoid or recover some of the costs for your place. If the University has already paid costs for your place and cannot get them back (non recoverable costs), that part is not refundable. The University will not keep more than the Ticket Price you paid.
 
5. No-show (you do not attend on the day)

If you do not attend the event, this is treated the same as cancelling after the Booking Cut off Date.
 
6. If your place can be filled or costs can be recovered

If, following your cancellation, the University can fill your place, reduce supplier charges, or receive a supplier refund, the University will refund the amount it can recover up to the value of your ticket.
 
7. If you cancel because of illness or another legitimate excuse

If you cancel on or before the Booking Cut off Date because of illness or other legitimate excuse outside your control (as determined by the University, acting reasonably), you will receive a full refund.
 
If you cancel after the Booking Cut off Date because of illness or other legitimate excuse outside your control (as determined by the University, acting reasonably) you will receive a refund of any part of the Ticket Price that is not needed to cover the non recoverable costs for your place (if any).
 
If the University later recovers any costs (for example, your place is filled or a supplier gives a refund), the University will refund the recovered amount to you up to the value of your ticket.
 
The University may ask for reasonable evidence (for example, a medical certificate for the Excursion date or a statutory declaration).
 
You must notify the University as soon as possible after you become aware that you will not be attending the Excursion.
 
8. If the University cancels or changes the Excursion

If the University cancels the Excursion for any reason (for example, not enough students, the provider closes, safety concerns, extreme weather, staffing/operational issues, or a University/Government direction), you will receive a full refund.
 
If the University reschedules (changes the date or time) You can either:
1.    attend on the new date/time, or
2.    cancel and receive a full refund.
 
9. If the University makes a major change

If the University makes a change that a reasonable student would consider significant (for example, a big change to the destination, duration, or key inclusions) and you do not want to attend, you can cancel and receive a full refund.
 
10. Minor changes

If the University makes a minor change to the Excursion (for example, small timing changes or a similar replacement bus), you will not receive a refund unless a refund is required by law.
 
11. Your rights under Australian Consumer Law

Nothing in these terms takes away rights you may have that cannot be excluded under the Australian Consumer Law.
